Tutoring center & tutor management software: attendance, fees and parents in one place

A private tutor or learning-center owner is really running a small business: groups and schedules, students who attend or miss, monthly fees and installments, and parents asking how their children are doing. Usually all of this runs on a notebook, WhatsApp groups and the tutor's memory — until the number of students grows and chaos begins.

Nazzem's learning center software brings that journey into one simple system: attendance in seconds with instant parent notifications, tracking of fees and late installments, periodic parent reports, and an early-warning score that flags students at risk of dropping out before they leave the group.

The core idea: students don't drop out suddenly. First they miss twice, then fall behind on homework, then pay late. The software catches these signals early so you can step in and keep the student.

Learning center problems this software solves

Problems every tutor and center owner knows as students and groups grow.

Attendance in notebooks

Manual attendance eats lesson time, notebooks get lost, and there's no clear history for each student.

Late and awkward fee collection

You don't know exactly who paid, and asking for fees in front of students is awkward for tutors and parents.

Parents kept in the dark

Parents find out about absences or low performance far too late and blame the tutor or center.

Students dropping out without warning

A student disappears from the group, nobody contacts them or their family, and you lose the student and the fees.

Group and schedule chaos

Multiple groups with different times and rooms; one schedule change means dozens of manual messages.

Tutoring center software features

Designed to save tutors time, reassure parents and keep students.

Fast attendance

Take attendance per group from your phone in seconds, or use QR/student cards in larger centers.

  • Full attendance history per student
  • Attendance rate per group

Instant parent notifications

Automatic WhatsApp messages to parents when a student is absent (or present, if you prefer) — no manual sending.

Fees & installment tracking

An account per student showing paid and outstanding amounts, with automatic reminders to parents instead of asking in class.

Dropout risk score

Built on repeated absences, late homework and late payment, ranking students by risk so you can act early.

Periodic parent reports

Weekly or monthly WhatsApp summaries of attendance, grades and notes — a professional touch for your center.

Groups & schedules

Groups by level, subject and room; send any schedule change to all students and parents in one message.

Post-absence re-engagement

A follow-up plan for returning students: missed lessons, a welcome message and extra attention in the next sessions.

Worked example: what a dropped student costs

A center with 200 students paying an average of EGP 400 a month (or the equivalent). If just 5% drop out during the term without follow-up, that's 10 students — about EGP 4,000 a month and over EGP 30,000 across the school year, before the reputational cost with parents.

When the software notifies parents from the first absence and alerts you when absences combine with late payment, you get a real chance to reach out and bring the student back before they leave.

Figures are illustrative and vary by grade, subject and city.

How much does tutoring center software cost?

Pricing depends on students, tutors and branches, and usually combines a one-time set-up with a monthly subscription. An individual tutor doesn't pay the same as a center with twenty teachers.

WhatsApp messages to parents are charged at cost based on monthly volume.
