Student housing software guide

Why does student housing need a management system?

Managing student housing means tracking dozens or hundreds of beds, students moving in and out each term, monthly or term rents, and a constant stream of maintenance requests. With spreadsheets and WhatsApp, problems pile up: a bed booked twice, late rent nobody chases, a fault waiting a week.

Nazzem's student housing software shows occupancy by building, room and bed, records contracts and deposits, tracks rent with automatic reminders for late payers, and turns maintenance requests into tickets with an owner and a deadline.

It suits student housing owners, shared-living operators, worker accommodation and furnished apartments rented by the bed or room.

Housing problems this software solves

Problems that come back every term and every rent cycle.

No real view of occupancy

Outdated sheets don't show which beds are free today, so bookings are lost or beds double-booked.

Late rent with no follow-up

Collection relies on manual reminders, so arrears build up and conversations get awkward.

Scattered contracts & deposits

Student data, contracts and deposits live in separate files that are hard to find.

Slow maintenance

Requests arrive on WhatsApp and get forgotten, and residents complain about delays.

Unorganized communication

Random group messages instead of organized notices per building or room.

Student housing management software features

Everything a housing manager needs to see occupancy, collect rent and keep residents satisfied.

Occupancy board

A visual view of buildings, rooms and beds with each bed's status: available, reserved, occupied, under maintenance.

  • Live occupancy
  • Book by bed or room
  • Waiting list

Bookings & contracts

Record the student, contract, term, deposit and documents, with alerts before contracts end.

Rent collection

Monthly or term rents, payments and methods, and a statement per resident.

Automatic rent reminders

WhatsApp messages before and after the due date for late payers — no awkwardness, no manual effort.

Maintenance tickets

A resident's request becomes a ticket with a technician, status and close date.

Resident portal

A page where residents see their contract and payments and submit maintenance requests.

Owner reports

Occupancy rate, revenue, arrears and maintenance costs per building.

Who is this housing software for?

Suited to any accommodation rented by the room or bed.

Private student housing

Buildings near universities rented to students by bed or room.

Shared living

Shared apartments and rooms for employees and expats.

Worker accommodation

Company housing compounds with bulk occupancy and contracts.

Several buildings for several owners with separate reports.

Student housing software for Saudi Arabia, Egypt, the UAE, Qatar and Kuwait

The software runs in Arabic and English and in your currency, and where needed we connect it to a certified e-invoicing provider in your country so invoices are issued compliantly.

Saudi Arabia

ZATCA is bringing businesses into Phase 2 e-invoicing (Fatoora integration) in waves; Wave 25 lowered the threshold to SAR 187,500 with an integration deadline of 1 February 2027. We connect to a compliant solution so tax invoices with QR codes are issued from the system.

Egypt

Consumer sales fall under the Egyptian Tax Authority's e-receipt system and B2B sales under its e-invoice system. We connect to an approved channel or provider so receipts and invoices are issued where the transaction is recorded.

UAE

E-invoicing is mandatory from 1 January 2027 for businesses above AED 50 million in revenue and from 1 July 2027 for the rest, through an accredited service provider (ASP). We structure invoice data so it connects easily to the provider you choose.

Qatar

Qatar has no VAT in force yet; a draft e-invoicing law was approved in 2026 without a final timeline. The software runs in Qatari riyals and e-invoicing can be added once requirements are published.

Kuwait

Kuwait has no VAT or mandatory e-invoicing in force yet. The software runs in Kuwaiti dinars and issues organized invoices and receipts, and we add any e-invoicing integration as soon as official requirements are published.

Spreadsheets or specialized housing software?

A spreadsheet stores data; housing software tracks occupancy, rent and maintenance automatically.

Example: one empty bed for a month

In a 120-bed building, if 5 beds stay empty for a whole month because nobody noticed they were free, that's rent lost forever — plus arrears that build up without reminders.

A live occupancy board, a waiting list and automatic rent reminders keep the building closer to full occupancy and on-time collection.

Figures are illustrative and vary by city and rent levels.
